Legal & information handling
Privacy Policy
This notice covers the ORSENATAS Social informational website, enquiries and early-access requests, and requests about personal information. It does not describe every processing activity in an invited workspace or replace any separately agreed service terms.
Effective date: 2026-10-23
Who is responsible
ORSENATAS LTD is responsible for the personal information covered by this notice. We are registered in England and Wales under company number 16435964. Our registered office is Piccadilly Business Centre, Unit C Blackett Street, Aldow Enterprise Park, Manchester, M12 6AE, United Kingdom.
Contact info@orsenatas.com for website, privacy or deletion enquiries. Please do not send passwords, access tokens or unnecessary identity documents.
Information we handle
Our hosting infrastructure handles technical information needed to deliver and protect the website, including IP addresses, requested pages, request times and browser request headers. The website has no registration, checkout or enquiry-submission form. It does not run analytics or advertising trackers, use browser storage, or embed social feeds.
If you contact us by email or telephone, we receive the contact details, message and other information you choose to provide. An early-access request may include your business name and intended use. Email and telephone links open your own communication application; browsing this website does not submit an application.
Rights requests may contain information needed to locate records, verify your identity or authority, and explain the outcome. Provide only what is relevant. There is no automated decision about your eligibility for access and no profiling on this website.
Why we use information
We use technical information for our legitimate interests in delivering a functioning website, preventing misuse and investigating faults. We use business-enquiry information for our legitimate interests in answering questions and managing business relationships. Where you personally ask us to take steps towards a contract with you, we use information necessary for those steps.
We handle privacy and other statutory requests to comply with our legal obligations. We do not add people who make enquiries to an advertising mailing list. Any future optional marketing would require its own information and any necessary permission.
Providers and international processing
We use server-hosting and business-email providers to operate the website and handle correspondence. Authorised people working for us may access information for these purposes. Information may also be disclosed where a legal obligation requires it.
The website server is in London, United Kingdom (OVHcloud region os-uk2). This identifies the server location; it does not establish every location used for email, backups or provider support.
Our contact mailbox uses OVHcloud Zimbra Starter, which OVHcloud describes as hosted in European datacentres. Email handling also involves the provider's service, security and technical-backup operations; primary hosting location does not mean that every support operation or copy is in the same country. Enquiries and privacy requests are handled by authorised personnel of ORSENATAS LTD, who may access correspondence remotely, including while working outside the UK. Transfers we initiate to providers in the European Economic Area are covered by the UK's adequacy regulations. OVHcloud publishes data-protection terms and a subprocessor list describing its onward-processing arrangements, including support from outside the primary hosting country. We do not promise immediate erasure of provider backups; their handling is explained in the retention section below. You can contact info@orsenatas.com for information about relevant recipients, processing locations and any safeguards applicable to your information.
Retention
We keep ordinary enquiries while answering them and completing a follow-up agreed with you. At closure, we delete correspondence that is no longer needed. Closure occurs when the answer is complete with no agreed follow-up, you withdraw the enquiry, or the follow-up deadline agreed with you expires. We do not keep an unanswered enquiry open solely for possible future marketing.
An early-access request closes when we send an invitation or a refusal, you withdraw it, or an agreed review deadline expires. At closure, we remove the application correspondence except information needed for a service you have chosen to join; that service's retention is explained separately. We agree a review deadline when an access decision cannot yet be made.
For privacy requests, we remove verification documents when verification is complete. We remove the working correspondence and identifying case record when the request and any related complaint are resolved, unless a specific legal record must be kept. We may keep a count of completed requests without identifying the people involved.
Routine service logs rotate when configured storage limits are reached; this is not a guaranteed number of days. A separate incident extract is kept while that incident is investigated and remedied, then removed at closure. If a specific legal obligation or active dispute requires a limited record to be retained, we record the reason, the records concerned and a review date, and remove the record when that reason ends.
A deletion decision covers relevant live information and identified copies, including mail folders and any configured copies. Provider backup removal can depend on its replacement cycle. We establish the actual cycle and any access restrictions with the provider and explain remaining copies in our response. We do not claim immediate deletion from backups where that cannot be verified. A restoration must be checked against outstanding deletion decisions before restored information is returned to ordinary use.
Your rights
Depending on the circumstances, you can request access, correction, erasure, restriction or a portable copy of your personal information. Where consent is used, it can be withdrawn.
You can object to processing based on legitimate interests. Contact info@orsenatas.com and describe the information concerned. We may ask for proportionate evidence of identity or authority. We respond within the applicable legal time limit and explain any permitted extension.
You can complain to the UK Information Commissioner's Office through ico.org.uk/make-a-complaint.
Private beta and future integrations
The separate, invitation-only beta currently uses simulated publication. A test receipt does not mean a post was published. This website does not connect your social accounts or grant access to a workspace.
Workspace content, account records and history are separate from public website enquiries. Signing out or disconnecting a connection does not erase them. You can request information or deletion using the same contact address; see Data Deletion Instructions.
Before enabling new live integrations, customer-content processing or materially different uses, we will provide the relevant information and agreements. Descriptions of planned features do not mean they are currently collecting data.
